Dispatch Planning & Scheduling: Plan, schedule, and execute dispatches based on customer orders or production requirements. This involves allocating vehicles/resources, optimizing delivery routes using software and GPS, and adjusting schedules to accommodate last-minute changes or emergencies.
Communication & Coordination: Serve as the primary communication liaison via phone, email, or radio, providing drivers with instructions and updates on routes, traffic, and requirements. They also coordinate with warehouse, production, sales, and customer service teams to ensure smooth operations.
Monitoring & Tracking: Monitor the status and location of shipments or field units to ensure on-time delivery and adherence to schedules. They track the progress of deliveries and pickups and provide status updates to customers as needed.
Documentation & Reporting: Maintain accurate records and logs of all dispatch activities, including shipment logs, delivery notes, and driver activity. They prepare and verify necessary paperwork like invoices, packing lists, and e-way bills.
Problem-Solving & Issue Resolution: Address and resolve any issues, discrepancies, or delays that may arise during the dispatch process (e.g., vehicle breakdowns, route issues, customer complaints).
Compliance & Safety: Ensure that all dispatch operations and drivers comply with company policies, health and safety standards, and transportation regulations.
